POS system pricing for Zambia, pay once or by the month
Many POS systems sold in Zambia charge a monthly fee for as long as you trade, per till or per branch, on top of the hardware. BelloPOS works differently. Lite is free for good. Go, Pro and Pro+ can be bought once as a licence you keep, so you stop paying after the first purchase, or as a monthly or yearly key paid upfront for as many months as you need. Nothing renews by itself. If a key runs out, BelloPOS falls back to Lite and keeps every product, sale and customer account.

How Zambia pays, and how you record it
BelloPOS does not process payments and is not connected to mobile money networks, banks or card machines. The customer pays the way they always do, and you pick the payment method on the sale, so every sale shows how it was paid. You can add your own payment methods to match how your shop gets paid.

Because BelloPOS does not read your mobile money statements, check the sales recorded under each wallet against your Airtel Money, MTN MoMo or Zamtel statement at closing. A gap usually means a payment was recorded under the wrong method.
Smart Invoice, VAT and Turnover Tax: what applies in Zambia
A POS system does not make you compliant on its own. These are the main rules for a trading business, with a link to the ZRA or Data Protection Commission page we read. Rules change and your situation may differ, so confirm with your accountant or tax consultant.
ZRA Smart Invoice for sales
ZRA's Smart Invoice FAQ says taxpayers are required to use Smart Invoice to record all sales transactions, and that issuing manual tax invoices is not allowed. Smart Invoice sends invoice data to ZRA in real time with a fiscal signature and QR code. ZRA lists penalties under section 7A(3) of the VAT Act for failing to issue electronic invoices. BelloPOS does not issue Smart Invoices and is not connected to ZRA.
Choosing a Smart Invoice solution
ZRA offers free solutions: a Desktop and Tablet application for Windows 10 or later, a Mobile App for Android meant for Turnover Tax taxpayers and not for VAT-registered businesses, and an online portal for service businesses that issue few invoices. Businesses with accounting or ERP systems integrate through a certified invoicing system and the VSDC. BelloPOS is not one of these solutions or certified systems.
VAT at 16%
ZRA describes three kinds of supply: standard-rated at 16%, zero-rated at 0% and exempt, with no VAT at all. ZRA's Smart Invoice FAQ adds that prices of standard-rated goods are entered tax-inclusive. The VAT registration threshold is not stated on the page we read, so check it with ZRA or your accountant. VAT invoicing stays with Smart Invoice; BelloPOS sales reports by day and by product help you check your figures.
Turnover Tax for smaller businesses
ZRA says businesses with annual sales of K5,000,000 or less register for Turnover Tax, charged on gross sales: 0% up to K30,000 a year and 5% above that. Returns and payment are due by the 14th of the following month. Partnerships and some activities cannot use it. BelloPOS daily and monthly sales reports give you the gross sales figure to check against your return.
Keep records for six years
ZRA states that taxpayers must keep business records, such as sales records, invoices, receipts and bank statements, for at least six years. BelloPOS keeps every sale, stock movement and customer payment on your computer, and scheduled backups on Go and above help protect that history. Your Smart Invoice records are kept separately by ZRA's own system, so keep both.
Customer data and the Data Protection Commission
Zambia's Data Protection Commission oversees the data protection law and registers data controllers and processors. If you keep customer names and phone numbers for credit accounts or promotions, check with the Commission or your adviser whether your business needs to register. BelloPOS stores customer data on your own computer, not on our servers.
BelloPOS is not certified, approved or registered by ZRA or any other Zambian authority. It is not a Smart Invoice solution, certified invoicing system or electronic fiscal device, and it issues no Smart Invoices, fiscal signatures or fiscal documents. How Zambian businesses use BelloPOS
Grocery store in Matero, Lusaka
A grocery store with about 1,000 items scans everything at one till and prints labels for sugar, kapenta and beans it repacks into smaller packets. Deliveries from the wholesaler are booked in against the order, and the low-stock list tells the owner what to buy at the market before the weekend. Neighbours who pay at month-end have accounts with limits. Smart Invoices are issued on the ZRA desktop application.
Bottle store in Kitwe
Beer, ciders and spirits are high value and easy to lose, so every crate and bottle is scanned in and out. Each attendant logs in with their own account, only the owner can void a sale or change a price, and the activity log on Go shows who did what. At closing the owner counts the drawer against the day's sales and checks the mobile money sales against the wallet statements.
Hardware shop in Ndola
Builders, contractors and walk-in customers buy from the same counter at different prices. With Go, contractors get a trade price group and a credit account with a statement, so the owner knows who owes what before releasing more cement and roofing sheets. Purchase orders track stock coming from suppliers on the Copperbelt and in Lusaka, and Ares reports which lines are moving slowest.

Is there a monthly fee?
Only if you choose one. Go, Pro and Pro+ are sold as a one-time licence you keep, with free updates. If smaller payments suit your cash flow, buy a monthly or yearly key instead, paid upfront. There is no automatic renewal, so nothing is charged without you asking. The free Lite plan never expires, and a yearly key costs the same as ten months.
Which plan suits my business?
Lite suits a small tuck shop with one till. Choose Go for credit accounts, bulk price groups, purchase orders, sales export to PDF, scheduled backups and Ares AI. How do I pay from Zambia?

Is your invoice a ZRA Smart Invoice?

Please ask your accountant or tax consultant before you buy; we do not give tax advice.
