Most UK EPOS systems are sold as a monthly subscription bundled with a card machine contract, and the bill keeps coming whether trade is good or quiet. BelloPOS works differently. The till, receipts, barcode scanning, stock and sales history run on a computer you already own, and the Lite plan is free for good. When you want more users, PDF invoices or automatic backups, you can buy a lifetime licence once, or a monthly or yearly key paid in advance, with no automatic renewal. UK tax and record-keeping points every till owner should know
An EPOS system does not make you compliant on its own, but it should make the paperwork easier. These are the official HMRC and government rules most relevant to shops, cafés and restaurants, with a link to the source for each.
VAT registration at £90,000
You must register for VAT if your taxable turnover over the last 12 months goes above £90,000, or if you expect it to go over in the next 30 days alone. Below the threshold you can register voluntarily. BelloPOS lets you set a VAT rate on each product, so your till prices and reports are ready either way.
gov.ukMaking Tax Digital for VAT
All VAT-registered businesses must keep VAT records and file VAT Returns using software compatible with Making Tax Digital. BelloPOS is not MTD software and does not file returns: export your sales figures and hand them to your bookkeeping software or accountant, who submits the return to HMRC.

HMRC generally expects VAT business records to be kept for at least 6 years. Retailers using a VAT retail scheme must keep a digital record of daily gross takings, while till rolls and Z readings behind it must still be kept. BelloPOS keeps your sales history and X/Z reports on your own computer, and Go adds automatic backups.

VAT-registered retailers should give a customer a VAT invoice if asked for one, and you do not need to issue VAT invoices to customers who are not VAT registered. For supplies of £250 or less, a simplified invoice is allowed if the conditions are met. BelloPOS Go turns a sale into a numbered PDF invoice for trade customers.
gov.ukMaking Tax Digital for Income Tax
Sole traders and landlords with qualifying income over £50,000 must use Making Tax Digital for Income Tax from 6 April 2026, with the threshold due to fall to £30,000 from April 2027 and £20,000 from April 2028. Qualifying income is gross turnover, not profit. You will need MTD-compatible software; BelloPOS gives you the sales totals to feed it.

The Price Marking Order 2004 requires goods sold to consumers to show a selling price in writing, including VAT, and in many cases a unit price such as per kilo or per litre. BelloPOS prints barcode labels with the product name and price, which helps keep shelf prices in line with the till.

How customers pay in the UK, and how BelloPOS records it
Cards now make up the large majority of UK payments, with debit cards alone accounting for more than half and cash down to around one payment in twelve, according to UK Finance. Your till has to record every one of these correctly.

BelloPOS does not take card payments itself and is not connected to a card machine. You keep your own terminal from your bank or payment provider, take the payment there, and select the payment method in BelloPOS so your reports split cash and card correctly.

Is BelloPOS really a free EPOS system?
Yes. The Lite plan is free for good, with no card details and no registration. It covers the till, receipt printing, barcode scanning, stock, customers and sales history for one user. Receipts carry a small BelloPOS mark on Lite. When you need more staff accounts, PDF invoices, backups or the AI assistant, Go, Pro and Pro+ are available as a one-time licence or as monthly or yearly keys, priced in pounds sterling.
Does it work with my card machine?
BelloPOS does not connect to card machines and does not process payments. You keep the terminal you already have from your bank or payment provider and take contactless, chip and PIN or mobile wallet payments on it as usual. In BelloPOS you choose card as the payment method, so your sales reports and X/Z reports keep card and cash takings apart, ready to reconcile with your terminal's end-of-day summary.
Is BelloPOS approved by HMRC or Making Tax Digital compatible?
No. BelloPOS is not recognised or certified by HMRC, and it is not Making Tax Digital software: it cannot file VAT Returns or Income Tax updates. It is a till and stock app that keeps your sales records. If you are VAT registered or within MTD for Income Tax, you also need MTD-compatible bookkeeping software or an accountant who uses it. Export your sales totals from BelloPOS and pass them on.
What happens if the internet goes down?
Nothing changes at the till. BelloPOS runs entirely on your own PC, Mac or Android tablet, so you keep selling, scanning, printing receipts and taking stock in without a connection. With Pro, extra tills, waiters' phones and the kitchen screen connect over your shop's own local network rather than the internet. Only Ares, the AI assistant, and the reports sent by Telegram or email need a connection, and they catch up when it returns.
What hardware do I need?
A Windows PC or a Mac running macOS 12 or later, ideally with a touchscreen, although a mouse works too. BelloPOS supports standard USB or Bluetooth barcode scanners, 58 mm and 80 mm thermal receipt printers, a cash drawer and a second screen facing the customer. There is no proprietary hardware to rent: you can buy kit from any UK supplier, or reuse what is already on your counter. BelloPOS also runs on Android tablets (Android 7 or later).
Can I set UK VAT rates on my products?
Yes. You set a VAT rate on each product, such as the standard rate, reduced rate or zero rate, and BelloPOS prices the sale and shows the tax lines on receipts and invoices. Which rate applies to which item is your decision: food, drink and catering in particular have detailed rules, so agree your rates with your accountant before you start, and check the GOV.UK VAT rates page for changes.
Can someone set it up for me?
Yes.
