POS system pricing for Kenya, pay once or by the month

Many POS systems sold in Kenya charge a monthly fee for as long as you trade, per till or per branch, on top of the hardware. BelloPOS works differently. Lite is free for good. Go, Pro and Pro+ can be bought once as a licence you keep, so you stop paying after the first purchase, or as a monthly or yearly key paid upfront for as many months as you need. Nothing renews by itself. If a key runs out, BelloPOS falls back to Lite and keeps every product, sale and customer account.

Pro and Pro+ include our Ready-to-Sell Pack: we install the software remotely, help you connect your receipt printer and scanner, add your products and train your staff. Pro+ can also be paid in two interest-free parts. You order from the pricing page and every purchase is invoiced from the USA. Note that the licence covers BelloPOS only: your eTIMS solution comes from KRA and is separate. Try every Pro feature free for 7 days, and if a paid plan is not right, ask for your money back within 14 days.

eTIMS, VAT and Turnover Tax: what applies in Kenya

A POS system does not make you compliant on its own. These are the main rules for a trading business, each with a link to the KRA or ODPC page we read. Your situation may differ, so confirm with your accountant or tax agent.

• eTIMS invoices for every business

  KRA says persons in business must onboard to eTIMS and issue electronic tax invoices, whether or not they are registered for VAT. From 1 January 2024, a business expense must be supported by an electronic tax invoice to be claimed, with some exclusions such as salaries and imports. BelloPOS does not issue eTIMS invoices and is not connected to eTIMS.

• Choosing an eTIMS solution

  KRA offers several free ways to invoice: the eTIMS online portal, the eTIMS Client for Windows or Android with several tills, eTIMS Lite on eCitizen, the mobile app and USSD *222# for sole proprietors. Businesses with their own invoicing system can connect it through KRA system-to-system integration (VSCU or OSCU). BelloPOS is not an eTIMS integrator, so you invoice through one of these KRA options.

• Stock records that match your eTIMS invoices

  KRA states that businesses invoicing through TIMS or eTIMS must keep accurate, up-to-date stock records of goods received, sold, transferred, returned and adjusted, aligned with what they invoice, citing section 23A(2)(b) of the Tax Procedures Act. BelloPOS keeps a detailed stock history that can help, but it does not send anything to KRA. Ask your accountant how to reconcile the two.

• VAT at 16% from KSh 5 million

  According to KRA, a business with taxable supplies of KSh 5 million or more in a year must register for VAT. The general rate is 16%, some supplies are zero-rated under the Second Schedule of the VAT Act and others are exempt. Returns and payment are due by the 20th of the following month on iTax. BelloPOS sales reports by day and by product help you prepare the figures, but your VAT invoicing and returns stay with eTIMS and your accountant.

• Turnover Tax for smaller traders

  KRA describes Turnover Tax as 1.5% of gross sales for resident businesses whose turnover is above KSh 1 million and does not exceed KSh 25 million a year, payable by the 20th of the month after each tax period. It is a final tax with no expenses deducted. BelloPOS daily and monthly sales reports give you the gross sales figure to check against your return.

• Customer data and the Data Protection Act

  The ODPC says organisations processing personal data must register under the Data Protection Act, 2019, unless their turnover is below KSh 5 million and they employ fewer than ten people. Hospitality and direct marketing are among the purposes that must register regardless of size. If you keep customer names and phone numbers for credit or SMS offers, check whether you need to register.

BelloPOS is not certified, approved or registered by KRA or any other Kenyan authority. It is not an eTIMS solution, eTIMS integrator or tax register, and it issues no electronic tax invoices or fiscal documents. Receipts printed from BelloPOS are not eTIMS invoices.
