POS system pricing for Australian businesses, without the lock-in

Most POS systems in Australia charge a monthly subscription for each register, plus add-ons for extra staff, inventory or a second venue. GST, tax invoices and records: what your POS should help with

These are the ATO and Reserve Bank rules that most often touch the counter. They are general information, not tax advice. Your accountant or BAS agent can confirm how they apply to your business.

• GST registration and the 10% rate

  You must register for GST within 21 days of your GST turnover reaching $75,000 ($150,000 for non-profits). Taxi and ride-sourcing drivers must register whatever their turnover. Once registered, you charge 10% GST on taxable sales. In BelloPOS you set the tax on each product, so the receipt and the day's totals show the GST collected, ready for your accountant.

• Tax invoices on request

  If you are registered for GST and a customer asks for a tax invoice, you must provide one within 28 days, unless the sale is $82.50 or less including GST. The invoice must show your identity and ABN, the date, what was sold and the GST. Sales of $1,000 or more also need the buyer's identity or ABN. BelloPOS lets you add your details to the receipt header and export invoices. Check that your template shows everything the ATO lists.

• GST-free and taxable food in one basket

  Most basic food is GST-free. Food eaten on your premises, hot takeaway food and items on the ATO's taxable list, such as soft drinks and confectionery, include GST. Grocers and cafés therefore often ring up both kinds in a single sale. Give each product the right tax setting in BelloPOS, and ask your accountant about items whose GST depends on how they are sold.

• Keep records for five years

  The ATO expects most business records to be kept for five years, in English or a form easily converted to English. Electronic records are accepted, and you should be able to extract them in a standard format. BelloPOS keeps your full sales history on your own computer, with automatic backups on paid plans. Agree with your accountant on what to export at the end of each BAS period.

• No more card surcharges on eftpos, Mastercard and Visa

  Following the Reserve Bank's review of merchant card costs, surcharging on debit, prepaid and credit cards on the eftpos, Mastercard and Visa networks was removed from 1 October 2026. If your prices or counter signs still mention a card surcharge, update them. Your terminal provider can explain what changes on your merchant fees.

• Cash acceptance for larger grocery and fuel retailers

  Since 1 January 2026, larger grocery and fuel retailers must accept cash for in-person purchases of $500 or less during set hours. Small businesses under the turnover threshold are generally exempt unless they trade under a larger retailer's brand. Check the final rules with Treasury or your accountant if you think they apply to you. BelloPOS records cash and card side by side either way.
