POS system pricing for Uganda, pay once or by the month
Many POS systems sold in Uganda charge a monthly fee for as long as you trade, per till or per branch, on top of the hardware. BelloPOS works differently. Lite is free for good. Go, Pro and Pro+ can be bought once as a licence you keep, so you stop paying after the first purchase, or as a monthly or yearly key paid upfront for as many months as you need. Nothing renews by itself. If a key runs out, BelloPOS falls back to Lite and keeps every product, sale and customer account.
Pro and Pro+ include our Ready-to-Sell Pack: we install the software remotely, help you connect your receipt printer and scanner, add your products and train your staff. How Uganda pays, and how you record it
BelloPOS does not process payments and is not connected to MTN MoMo, Airtel Money, banks or card machines. The customer pays the way they always do, and you pick the payment method on the sale, so every sale shows how it was paid. You can add your own payment methods to match how your shop gets paid.

Because BelloPOS does not read your mobile money statements, check the sales recorded as MoMo and Airtel Money against your merchant statements at closing. A gap usually means a payment was recorded under the wrong method.
EFRIS, VAT and small business tax: what applies in Uganda
A POS system does not make you compliant on its own. These are the main rules for a trading business, each with a link to the URA page we read. Your situation may differ, so confirm with your accountant or tax adviser.
Who must use EFRIS
URA says all VAT-registered businesses must use EFRIS, the Electronic Fiscal Receipting and Invoicing Solution. Businesses in designated sectors must use it whether or not they are VAT-registered; the list includes accommodation and food services, construction, manufacturing and the wholesale and retail of fuel. BelloPOS does not issue EFRIS e-receipts or e-invoices and is not connected to EFRIS.
How EFRIS documents are issued
URA lists several ways to issue EFRIS documents: the EFRIS mobile app, an Electronic Fiscal Device (EFD), the desktop client, the URA web portal for small users, and system-to-system integration for high-volume businesses. VAT-registered businesses issue e-invoices, others issue e-receipts, each with a Fiscal Document Number and QR code. Receipts printed from BelloPOS carry none of these.
Stock in EFRIS
URA explains that taxpayers who deal in products must stock in quantities for their configured items in EFRIS before they can issue e-receipts and e-invoices, and can adjust or transfer stock there. BelloPOS keeps its own stock records for running the shop, but it does not update your EFRIS stock. Ask your accountant how to keep the two in line.
VAT at 18%
URA's VAT page gives a standard rate of 18%, with exports and medicines made in Uganda zero-rated, and items such as unprocessed foodstuffs exempt. It describes registration as compulsory once turnover passes the threshold set out on that page, with returns and payment due within 15 days after the end of each month. BelloPOS sales reports by day and by product help you prepare figures, while VAT e-invoices stay with EFRIS and your accountant.
Small business (presumptive) tax
URA describes a small business tax for traders whose gross turnover is above UGX 10 million and not above UGX 150 million a year. It is a final tax with no deductions, and the amount is lower in some bands for businesses that keep records. BelloPOS daily and monthly sales reports give you a clear turnover figure to discuss with your accountant.
Keeping business records
URA asks businesses to keep an accurate record of every transaction, such as receipts, invoices, contracts and bank statements, ideally on the day it happens. BelloPOS records every sale, refund, delivery and payment with its date, and can export reports and sales as PDF. How long you must keep records is set by law, so confirm the period with your accountant.

How Ugandan businesses use BelloPOS
Supermarket in Ntinda, Kampala
A neighbourhood supermarket with about 2,000 items runs two tills on Pro and scans everything. Sugar, rice and posho repacked into smaller bags get printed barcode labels. Deliveries from Kikuubo wholesalers are booked in against the order, and the low-stock list shows what to buy before the weekend. The owner, who is VAT-registered, issues EFRIS e-invoices through the URA desktop client.
Sports bar in Jinja
Beer, Uganda Waragi and spirits are the most valuable stock, so every crate and bottle is scanned in and out. Each barman logs in with their own account, only the manager can void a sale, and tables keep a running bill on Pro while waiters add rounds from their phones. On match nights, the manager counts the drawer at closing and checks what each staff member sold.
Hardware shop in Mbarara
Builders, fundis and walk-in customers buy cement, iron sheets and nails at different prices from one counter. With Go, contractors get a trade price group and a credit account with a statement, so the owner knows who owes what before releasing more goods. Purchase orders track stock coming from Kampala, and Ares reports which lines are moving slowest.

A shop selling cosmetics, hair products and toiletries tracks hundreds of small items by barcode and sees which brands actually sell. Is there a monthly fee?
Only if you choose one. Go, Pro and Pro+ are sold as a one-time licence you keep, with free updates. If smaller payments suit your cash flow, buy a monthly or yearly key instead, paid upfront. There is no automatic renewal, so nothing is charged without you asking. The free Lite plan never expires, and a yearly key costs the same as ten months.
Which plan suits my business?
Lite suits a small shop with one till. Choose Go for credit accounts, wholesale price groups, purchase orders, sales export to PDF, scheduled backups and Ares AI. Choose Pro for a restaurant, bar with tables or any shop with more than one till, plus free setup. Choose Pro+ if you want us to load all your products and train your whole team.
How do I pay from Uganda?

Is your invoice an EFRIS invoice?
No. We invoice from the USA, so our invoices are not issued through URA EFRIS. How you treat software bought from a foreign supplier, for VAT and for claiming the expense, depends on your situation and current URA rules on imported services. Please ask your accountant or tax adviser before you buy; we do not give tax advice.
