POS system pricing in rand, with no debit order

Most till systems in South Africa charge a monthly fee for as long as you trade, often per till and per user. BelloPOS works differently. Lite is free for good. Go, Pro and Pro+ can be bought once as a licence you keep, so you stop paying after the first purchase, or as a monthly or yearly key paid upfront for as many months as you need. There is no debit order and nothing renews by itself. If a key runs out, BelloPOS falls back to Lite and keeps every product, sale and customer.

VAT, till slips and records: what South African shops should know

A good POS system makes the paperwork easier, but the rules are set by SARS and the Information Regulator. Here is a plain summary of the points that touch your till, with the official source for each. Rules change, so confirm anything that affects your business with your accountant.

• Tax invoices and till slips

  SARS says a VAT vendor must issue a full tax invoice when the price is more than R5 000, may issue an abridged tax invoice at R5 000 or less, and needs no tax invoice at R50 or less, where a till slip showing the VAT is used instead. The invoice must be issued within 21 days. BelloPOS lets you put your shop name, address and VAT number on every slip and make numbered invoices.

• VAT at 15%, with some foods zero-rated

  SARS levies VAT at the standard rate of 15%, and a limited range of goods is zero-rated, including basic foodstuffs such as brown bread and maize meal. Prepared, ready-to-eat food is generally standard-rated. In BelloPOS you set the VAT rate on each product, so a grocery can mix zero-rated staples and standard-rated items on one slip. Ask your accountant which rate applies to each line.

• When you must register for VAT

  SARS says that from 1 April 2026 it applies a compulsory VAT registration threshold of R2.3 million in taxable supplies a year, up from R1 million, and a voluntary threshold of R120 000. SARS also notes the change still has to pass through Parliament's legislative process. Your BelloPOS reports show your sales totals, but whether you must register is a question for your accountant.

• Keep your records for five years

  SARS says a VAT vendor must keep tax invoices, import and export documents and proper accounting records for five years, as the audit trail SARS uses to check compliance. BelloPOS keeps every sale on your own PC and can export the invoices of a period as PDF. Back up your data regularly, to a USB stick or with the scheduled backups in Go and above.

• Electronic records: form and location

  The Tax Administration Act lets SARS prescribe how electronic records must be kept, including where they are stored and how quickly you can hand them over. SARS published a draft public notice on this in 2021, and we could not confirm the final current version. If you rely on BelloPOS data as your records, check the current SARS notice with your accountant.

• Customer details and POPIA

  If you keep customer names and phone numbers, for an account book or a loyalty list, POPIA applies to how you collect, use and protect them. The Information Regulator says sole proprietors and small businesses that process personal information must register an Information Officer. Promotional SMS or WhatsApp messages generally need the customer's consent. BelloPOS keeps this data on your own PC, not in our cloud.
